Events terms and conditions

Contact details provided are used to keep you up to date about the event you are taking part in. We may ask for next of kin details in case of an emergency.

All details will be stored securely and are used in relation to the event you are taking part in.

If you have signed up to a third party event (challenge event) that is not organised by The Myton Hospices Events Team but by a third party organisation then your details may be passed to the organisers for their records.

Keeping in contact with you in general about our work and how else you may like to support us;

We would like to keep in touch with you about our vital work and update you on our news and fundraising activities.

When signing up to an event please tell us if you would be happy for us to contact you in options available throughout the registration form.

If an event is cancelled or delayed, for reasons beyond our control, we (The Myton Hospices) will attempt to arrange the event to take place at a later date, but cannot guarantee this will happen.

No registration fees are refundable under any circumstances. We cannot be held responsible for additional costs lost due to the event being cancelled (e.g. Travel, Accommodation etc.)

Health and Safety:

All participants must abide by the rules and any instructions given by event staff or marshals on the day.

All participants may be asked to provide the name and number of a person to contact in case of an emergency when they sign up for an event. In the case of an emergency, The Myton Hospices or third party event organisers may use the emergency contact details provided.

Any participant unsure of their physical ability to take part in an event should take medical advice from a General Practitioner prior to the event.

All participants enter entirely at their own risk, The Myton Hospices shall not be liable for any injury, damage or loss suffered by participants as a result of the participation other than in respect of death or personal injury arising as a result of The Myton Hospices negligence.

We aim to make all of our events as accessible to everyone as possible however there may be some events where wheelchairs and pushchairs are not suitable. Please call 01926 838825 to check before registering.

The Myton Hospices takes reasonable steps to minimise the risk of injury to all participants during our own organised events. A risk assessment process is in place for each event.

By taking part in an event, you acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks. If you have any concerns or queries please contact us before agreeing to take part in an event.

Dogs are permitted at most events, but please only bring socialised, well behaved dogs on leads. The owners of any dogs that are deemed to be a hazard will be asked to leave the site. We advise you to check with the team before bringing your dog along with you.

Participants' supporters and family members spectating at any Myton event do so entirely at their own risk. Myton shall not be liable for any injury, damage or loss suffered by spectators at a Myton organised event other than in respect of death or personal injury arising out of The Myton Hospices negligence.

First aid is provided at all of our events. Participants consent to their details (which will be obtained by medical providers if participants are treated by them at an event) being passed to Myton.

Myton will only use these details for administration and health and safety purposes and to fulfil its legal obligations, including those under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 1995.

Third Party Events

Participants attending events organised by a Third Party (not by The Myton Hospices) must agree to the event organisers own Terms and Conditions and follow their rules and guidance.

Children under 18 years of age:

If a child is under 18 years or under, they cannot enter individually, they must be entered as an additional participant where the primary participant is over 18 and is the legal parent or guardian. The legal parent or guardian takes full responsibility for the child at the event.

Participants over the age of 18 do not need to provide parent or legal guardian details.

Payments:

Money raised from taking part in any event should be passed on to Myton as soon as possible after the event and by no later than the date provided on the individual sponsorship form.

Cheque’s should be made payable to ‘The Myton Hospices’ and sent to Events Department, The Myton Hospices, Myton Lane, Myton Road, Warwick, CV34 6PX along with a covering letter with your details and details of the event you have been raising sponsorship for.

Some events will require a specific amount of total sponsorship target must be raised before the event – the details of these requirements will be listed as part of the event sign up process if applicable. If these are not met, The Myton Hospices, has the right to withdraw you from the event and reallocate your place to someone else.

All event registrations are non-refundable.

Photography:

During our events we may take general photographs and film which may be used for social media, on our website, in the media and to promote future events. We will ask your permission before taking individual and group photographs of participants but you may sometimes appear in general photographs of crowds and the event setting. This also applies to photographs taken at third party events.

Donation Refund Policy

In accordance with the Charities Act 1992 we are only permitted to refund donations in exceptional circumstances. Please note that donations made in relation to a sponsored event are not reliant on the supporter completing the event, Should the event not be completed this will not constitute grounds for a refund.

Each year we need to raise 10.5 million to provide our services free of charge, we couldn’t do this without your support and we are so grateful for your donation. Lottery FAQs

What happens when I sign up?

You will receive written confirmation of your payment date and unique lottery number/s within three weeks of joining from the lottery office.

How will I know if I have won?

The draw takes place on Friday every week except in exceptional circumstances. If you have won the £1,500 prize, or the rollover, you will be contacted by phone by a member of the Lottery team. If you have won one of the other prizes, a cheque will be sent to you directly in the post.

How does the draw work?

Winners are chosen by a random number generator. The results will be available via the Lottery helpline 01926 407902 and on The Myton Hospices website https://myton.safeandsecurewebservices.net/areyouawinner

How does the rollover work?

Each week there is a £200 rollover jackpot, which if not won rolls over to the next draw. The rollover pot can grow up to £10,000, at which point it becomes a guaranteed prize.

Can I owe the Lottery money?

No. If payment has not been received, you simply do not get entered into the draw. If you pay by cheque we will write to you in plenty of time so you have the chance to renew your payment.

Where do the profits from the lottery go?

In 2023, £2.017 million was raised from ticket sales in our weekly lotteries and seasonal Bumper Draws, with 8.92% being spent on Prizes, 29.09% spent on Expenses and a fantastic 61.99% used to help make a difference to our patients and their loved ones, by funding the care of 1 in 4 of our patients.

This translated to an incredible £1.250 million!

Will you pass on my personal information to anyone else?

We do not sell or share your information with third parties for marketing purposes.

We may disclose your information to third parties in order to achieve the other purposes set out throughout this policy. Third parties may include:

We may pass your information to our third party service providers, suppliers, agents, subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf (for example to process donations, to send you mailings or process our Lottery).

When we use these third parties, we disclose only the personal information that is necessary to deliver the services and we have a contract in place that requires them to keep your information secure and prevents them from using it for their own direct marketing purposes.

Please be assured that we will not release your information to third parties for them to use for their own direct marketing purposes, unless you have requested us to do so, or we are required to do so by law.

Is The Myton Hospice Lottery licensed?

The Myton Hospices Lottery is licensed and regulated by the Gambling Commission.
